RFP bid/no-bid scorecard for small SaaS & IT teams

Before drafting, score the opportunity on the factors that determine whether scarce team time can realistically turn into a credible, profitable response. Give one point for each YES.

10-point scorecard

  1. Is the buyer problem clearly aligned with what we actually sell today?
  2. Do we understand why the buyer is running this RFP, not just what the document asks for?
  3. Can we identify a realistic path to differentiation beyond price and generic capability claims?
  4. Do we have enough approved evidence—customers, outcomes, architecture, certifications or references—to support the response?
  5. Are mandatory requirements mostly achievable without inventing commitments or stretching delivery capacity?
  6. Is there a named internal owner with authority to drive SMEs, reviews and final decisions?
  7. Can required SMEs contribute within the buyer’s deadline without displacing higher-value work?
  8. Is expected contract value and margin large enough to justify response cost and delivery risk?
  9. Do we know the major red flags: incumbent advantage, impossible terms, missing buyer access, unclear evaluation or compressed timing?
  10. If we win, can delivery start credibly without creating downstream customer-success or implementation damage?

What a low score usually means

A low score is not a writing problem. It usually signals missing buyer context, weak evidence, poor ownership, uncertain delivery economics or an RFP that simply does not deserve the team’s time. Adding more drafting effort does not repair those conditions.

Use the scorecard before the response plan

The fastest useful next step is to resolve the one or two unknowns that could flip the decision. If the opportunity still looks viable after that, then build the requirement map, deadline/dependency plan, SME question list and response outline.
